Why Migrations Go Wrong

Bad data in, bad ERP out.

Most ERP problems start on day one: duplicate customers, items with three different names, opening balances that never matched the old books, and stock that was "roughly right". Once that's loaded, every report built on top of it is wrong.

We treat migration as its own project. Data is cleaned before it's loaded, every balance is reconciled against your old system, and nothing goes live until the numbers agree.

Where You're Coming From

If it can export data, we can migrate it.

  • Tally
  • QuickBooks
  • Zoho Books
  • Odoo
  • Legacy billing software
  • Custom in-house systems
  • Excel & Google Sheets
What we migrate Details
Chart of accounts Mapped to an ERPNext structure that suits your reporting, not copied blindly
Customers & suppliers De-duplicated, with addresses, contacts, tax IDs and credit terms
Items Item codes, groups, units, barcodes, batches and price lists, cleaned up and consistent
Opening balances Trial balance as of the cut-off date, with receivables and payables invoice by invoice
Opening stock Quantities and valuation per warehouse and batch, reconciled to your stock value
Employees Employee records and salary details, if you're moving HR and payroll too
History (optional) Open orders, open invoices or current-year transactions where you need them in ERPNext
How We Migrate

Rehearsed on staging, reconciled before go-live.

  1. Extract & clean

We export your masters and balances, remove duplicates, fix naming and fill gaps, with your team deciding what stays.

  2. Trial loads

Data is loaded into a staging copy of ERPNext, checked, corrected and loaded again until it's right.

  3. Cut-over & reconcile

Final balances as of the cut-off date are loaded and matched against the old system, line by line.

  4. Parallel run

Where needed, both systems run side by side for a period, so you switch off the old one with confidence.

Proof, Not Promises

Every number checked twice.

Before go-live you get a reconciliation showing ERPNext and your old system agree as of the cut-off date. On a recent migration, opening stock was reconciled item by item and both systems ran in parallel for two months before the switch.

01

Trial balance matches

Every ledger in ERPNext agrees with the old books on the cut-off date.

02

Outstandings match

Customer and supplier balances agree invoice by invoice, so ageing reports are right from day one.

03

Stock matches

Quantity and value agree per warehouse and batch, and stock value ties to the balance sheet.

04

Your accountant signs off

We walk your accountant through the reconciliation before the old system is retired.

More Than a Data Move

Migrate once, set up properly.

A migration is the best moment to fix what never worked in the old system: messy item lists, missing approval steps, reports rebuilt by hand every month. We migrate as part of a full ERPNext implementation covering configuration, training and go-live support, and can connect your online store along the way, for example with a Shopify ↔ ERPNext integration.

Already on ERPNext but with messy data from a past migration? Our ERPNext support and audit service cleans it up.

FAQ

ERPNext migration questions.

Can we bring our full transaction history into ERPNext?

Usually we migrate masters and opening balances as of a cut-off date, and keep the old system or an export of it for historical reference. Where you need history in ERPNext, for example open invoices or the current financial year, we import it too.

Do we have to stop working during the migration?

No. You keep working in your current system while we build and test ERPNext. At cut-over we load final balances as of the cut-off date, and you can run both systems in parallel for a period before switching off the old one.

What is the best cut-off date?

The start of a financial year is cleanest, and the start of a month works well too. What matters is that balances on that date are final and agreed with your accountant.

Which systems can you migrate from?

Tally, QuickBooks, Zoho Books, Odoo, legacy or custom billing software, and spreadsheets. If your system can export data to Excel, CSV or a database, we can migrate it.

How do we know the migrated numbers are right?

Every migration is reconciled: the trial balance, customer and supplier outstandings, and stock quantity and value in ERPNext are matched against the old system as of the cut-off date before you go live.
